vendor guidelines

  • Vendor setup begins two hours prior to event opening. You may set up the evening prior to an event, but this must be arranged in advance.
  • All personal vendor vehicles must be removed from the event area 30 minutes prior to event opening. They may be parked across the street at Northwest Transplants or in the public parking area of venue.
  • Vendors must be open and ready to sell 15 minutes prior to event opening.
  • Vendors will supply their own tents, tables, supplies, trash receptacles, etc. Vendors are invited to bring walls or canopies to use in the setup of their space. There will be a central location available for trash disposal at the end of each day. Vendor space will be kept neat and clear of debris.
  • Vendors must always operate in a courteous professional manner. If a vendor sells out of product, they will make a sold-out sign and may leave their tent. Packing and tear down will begin at close of event – no sooner. Please make your best effort to always staff your booth; if you need a personal break, please be considerate and post a sign.
  • Vendors will be issued a vendor pass to be worn while present on WVMC grounds. This will be transferrable.
  • All vendors will have signage at their booth identifying the business name and location.
  • All vendors using any sort of open flame must have a certified fire extinguisher on hand.
  • Vendor shall not sell prohibited items including THC products, firearms, animals, items violating trademark regulations, or any other item found objectionable by management.
  • Water will be available at a common use area for cleanup. If you request water to be always available for your booth; please contact us for further discussion and fee schedule.
  • There is no security or electronic monitor on site. Vendors agree Willamette Valley Melon Company shall not be held responsible or financially liable for any personal injury, damaged or stolen merchandise or personal property, or losses of any kind. Vendors assume all liability for loss or damage to the venue property and waive any claim against Willamette Valley Melon Company.
